Delta Grand Okanagan Lakefront Resort and Conference Centre

  • We accept Visa, Mastercard and Amercian Express via our online registration platform.
  • Companies wishing to pay via cheque must email Lane Shupe, Exhibit Coordinator
  • All cheque payments must be drawn in Canadian Funds only.  US Funds and post-dated cheques will be returned.
  • Please make cheques payable to the Thompson Okanagan Dental Society.
  • We are unable to accept any form of payment over the phone.

Cancellations, No Shows, Unmanned Exhibits and Returned Cheques: 

  • The TODS Meeting assesses a service charge of $30.00 on cheques returned for any reason.
  • We do not accept post-dated cheques or US Funds.
  • If written cancellation is received by Lane Shupe, Exhibit Manager prior to September 20, 2026 and the cancelled exhibit space can be resold, the exhibit fees, less administration fees, will be returned.
  • There will be no refunds issued after September 20, 2026

We restrict access to the Convention Centre exclusively to exhibitor personnel and company representatives that have paid and received confirmation of exhibit space.

To protect the exclusive right of our exhibitors to do business, we do not permit registration or access by individuals that are NOT exhibiting.  

A) DISPLAY BOOTH WITH PIPE & DRAPE – booth size is fixed at 8 feet by 8 feet. Your display must fit along the back wall of the booth. Display booths are located in the Okanagan Ballroom. Fee for 2026  $1710

Included in the booth exhibit fee:

  • Security, space rental, one boxed and skirted table, 2 chairs, floor carpet, one power outlet, wireless internet, and cleaning of the public use portions of the exhibit area.
  • Registration for one (1) exhibitor personnel
  • Coffee breaks with mid morning snacks and hot buffet lunch for one (1) exhibitor personnel
  • Friday Trade Show Reception in the Exhibit Area

Display Booth Limitation

If the length of your display, signage etc. exceeds 8 feet in length you cannot turn your display on an angle as that impedes the access and visual of the adjoining exhibits.  We cannot accommodate 10-foot booth displays.  Therefore we will strictly enforce the size of your display and once on site if the size exceeds 8 feet in length we will either have your display reduced in size, by ShowTime Event and Display Services for which you will be charged, or we will move your exhibit to a location at the back of the exhibit hall.

B) DISPLAY TABLETOP WITH BACK DRAPE ONLY – display space is limited to 6 feet in length. Table Top displays are located in the Grand Foyer. Fee for 2026 $1375

Included in the table top exhibit fee:

  • Security, space rental, one boxed and skirted table, 2 chairs, floor carpet, one power outlet, wireless internet, and cleaning of the public use portions of the exhibit area.
  • Registration for one (1) exhibitor personnel
  • Coffee breaks with mid morning snacks and hot buffet lunch for one (1) exhibitor personnel
  • Friday Trade Show Reception in the Exhibit Area

NOT INCLUDED in booth or table top rental fee: storage, extension cords, power bars, special lighting, labor to move, extract or remove materials, or cleaning of interior booth space. Exhibitor requirements for additional items such as tables, display materials, storage, audiovisual equipment, extra lighting, etc., can be arranged.

Each exhibit is permitted a maximum of five (5) additional personnel per exhibit (one is included in your exhibit fee). Registration of exhibit personnel is offered only in conjunction with exhibit space and limited to personnel of companies, laboratories and manufacturers that have purchased exhibit space.

The individual fee for 2026 is $242 on or before October 5th and $283 October 6th to October 23, 2026

Additional Booth and Table Top Personnel also receive:

  • Registration to the meeting for Thursday and Friday only
  • Coffee breaks with mid morning snacks and hot buffet lunch
  • Friday Trade Show Reception in the Exhibit Area

Shipping of displays, equipment, products and promotional materials

The Delta Grand Okanagan Resort DOES NOT maintain exhibit storage space and will not accept any exhibit products, promotional materials, displays or equipment shipped directly to the Hotel.

The Thompson Okanagan Dental Meeting uses Showtime Event & Displays for all shipping, storage and displays. Showtime will accept materials, products, equipment, and booth or table top displays. ShowTime stores and delivers your shipment directly to your exhibit location in the Delta Grand Okanagan Resort.

An exhibit manual will be sent to confirmed exhibitors with order forms, regulations and contact details.

**REMINDER FOR 2026**

**The Delta Grand Okanagan Resort will immediately charge one night’s room rate plus taxes as a deposit, for each and every room you reserve. This deposit is non-refundable.**

* You must mention 2026 TODS Meeting when making reservations to receive the special rates.

The TODS Meeting Coordinator has reserved a block of rooms at a discounted rate in the Delta Grand Okanagan Lakefront Resort. Please click here for group rates, booking links and reservation call-in numbers.

The group rates apply for the dates of the conference – until they are sold out. Pre- and post-meeting dates are offered only https://todsmeeting.com/general-infobased on availability. If you require dates before/after Thursday and Friday night, you may need to book the TODS group rate for these nights and make another reservation at a regular hotel rate. We recommend to call the hotel directly in this case so they may link your reservations.

Complimentary inclusion into the Buyers Guide Section of the TODS Meeting Program is available when you complete your exhibit display purchase and complete the Buyers Guide Section during the purchase process.

Exhibit Registration AND completed Buyers Guide information received by June 1, 2026 will be included in our TODS Program Buyers Guide.

PLEASE NOTE: Dental personnel from dental supply companies/ manufacturers/ distributors/ practice sales/ consultants etc. are not permitted to register as dental staff unless they hold a valid and current license to practice and require continuing education credits.  Any attempts to conduct business at the TODS Meeting without paid exhibit space will result in refusal of entrance to the conference and/or removal.
